This might surprise you, but there’s no single definition for utilization. That’s because utilization depends on many variables, like how you define capacity or track how your team spends its time at work. Some businesses calculate capacity by excluding time off, admin work, and sick leave (like the Float team 👋). Others don’t. Their utilization numbers will look very different, even with the same workload. Since utilization metrics can vary so much, Marcel Petitpas, the CEO of Parakeeto, suggests starting with the right questions to ensure your definition actually helps your team make better decisions—rather than just chasing a number. That could be: ✔️ Is the team busy but not overworked? ✔️ Is the business healthy and profitable? ✔️ Are the clients getting what they need? From these, you’re closer to defining utilization in a way that aligns with your team’s goals and work style. And yes, we did include an image with our definition of utilization, but it’s up to you to decide if it works for your business 😉
