Maximizing My Time: How AI Helps Me Focus on Revenue-Generating Tasks

As a business owner, one of the most valuable resources I have is time.

But like many entrepreneurs and executives, I often find myself overwhelmed by non-revenue generating tasks—sorting emails, attending meetings, data entry—that eat into the time I should be spending on activities that actually grow my business.

While these tasks need to get done, they are often not the best use of my time.

So, what’s the solution? AI automation.


The Time Drain of Non-Revenue Tasks

I’ve realized that a significant part of my workday is spent on tasks that don’t directly generate revenue. It’s a familiar problem.

A recent study found that users spend an average of 8.8 hours per week on email and 7.5 hours in meetings - equivalent to two full workdays

That leaves you only three days each week to accomplish the tasks that actually generate revenue for your business.

Managing my inbox was a daily distraction from the strategic work that actually drives growth.

Thankfully, AI has changed that.


How AI Frees Me Up for Revenue-Generating Activities

Since integrating AI into my business, I’ve seen a dramatic shift in how I spend my time.

AI-powered tools now manage the tasks that used to bog me down.

Tools like email organizersAI Agents, and meeting summarizers handle inquiries, manage my agenda, and even prioritize my inbox.

For instance, AI for email management has been a game changer.

No more spending hours sifting through endless threads.

The AI filters messages, auto-filters emails that I don't need to read, and flags the ones that truly need my attention.

It aligns perfectly with what I discussed in my email inefficiency article—using technology to eliminate unnecessary time drains.

Another area where AI has been invaluable is meetings.

Fortunately, I'm the boss at my company so I get to choose the meetings I attend.

But many employees are forced to spend far too much time in meetings they don't really need to attend.

I use the same process in my business.

After every meeting, I use an AI Automation sequence to create a transcript, compress the transcript into a summary and set of action steps, and then add those to my CRM in the most appropriate places.

I always promise that I'll write down notes after every meeting, but I never keep that promise.

Now AI handles that task for me.

This allows me to spend less time trying to remember what we talked about or writing my own notes and spend more time taking action.

There are several AI tools that I rely on to streamline my day:

  • Email Management: Solutions like Spark help me declutter my inbox.
  • Task Automation: AI platforms like Pabbly have automated data entry, report generation, and other repetitive tasks that used to take up far too much of my time.

These tools are not only efficient but work around the clock, ensuring my business doesn’t slow down—even when I’m offline.


How AI Has Impacted My Business Growth

By letting AI handle the routine, I’ve been able to focus on activities that directly impact my company’s top-line revenue. Here’s what I’m focusing on now:

  • Building stronger client relationships, which leads to higher-value sales.
  • Strategic marketing initiatives that expand my brand’s reach and attract new customers.
  • Product development that enhances my offerings and boosts market share.

Research shows that companies effectively using AI can see profits increase by $4.4 trillion annually.

While that is a huge number and obviously includes every business in the world, I have seen many of my clients experience significant bumps in their top line revenue without increasing their overhead.

On a personal level, I’ve experienced firsthand how AI allows me to refocus on core business activities, ultimately boosting my revenue.
