We are seeking a proactive and highly organized Office Manager to oversee front desk and office operations at our Chicago-based office. This individual will play a key role in maintaining a professional and efficient work environment while providing administrative support to employees. Key Responsibilities:
Greet and assist visitors in a professional manner.
Answer and direct phone calls, ensuring smooth communication across the organization.
Maintain a clean and organized office and reception area.
Oversee office maintenance and coordinate with vendors and service providers.
Manage mail, packages, and deliveries.
Order and maintain office supply inventory.
Coordinate catering for daily lunches, meetings, and events.
Schedule meetings, manage conference room bookings, and handle logistics for company events.
Arrange travel and accommodations for staff.
Process travel and office-related expenses.
Provide administrative support including data entry, filing, and document preparation.
Assist HR with onboarding new employees.
Improve office productivity by optimizing administrative procedures.
Ensure sensitive information is handled with discretion and confidentiality.
Qualifications:
High school diploma or equivalent; additional training in office administration is a plus.
Experience in a similar role, preferably in a fast-paced environment.
Exceptional attention to detail, organizational, and multitasking abilities.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite, Google Workspace, and general office equipment.
Ability to work independently and prioritize tasks effectively.
Professional demeanor and reliable transportation for occasional errands.
Ability to lift approximately 25 lbs as needed.
