We are seeking a polished and proactive Office Manager/Receptionistto be the backbone for one of Chicago’s Best Places to Work financial services firm. In this dynamic role, you will oversee daily operations, maintain a professional work environment, and serve as the first point of contact for clients and visitors. Responsibilities
Organize office operations and procedures, including correspondence management, filing systems, and supply requisitions.
Oversee office maintenance, layout organization, and inventory of office supplies and equipment.
Coordinate service requests, security matters, and office-related inquiries with building management.
Manage and maintain conference rooms and corporate calendars.
Support firm-wide meetings through coordination and execution.
Serve as the primary floor steward for security and safety protocols.
Assist accounts payable with monthly expense reporting, invoicing, and corporate credit card management.
Manage franchise tax filings and related administrative tasks.
Act as the Account Manager for office and company-wide vendors.
Provide basic technology troubleshooting and maintenance support.
Serve as the Chicago office’s receptionist, professionally managing calls, greeting visitors, and handling mail distribution and preparation.
Assist with community initiatives, manage “life events” recognition.
Ideal Experience
Bachelor’s degree is strongly preferred.
2-5 years of experience within a professional services environment.
Previous experience in office management, administration, or a similar role is required.
Must have a polished, professional demeanor with a warm, friendly approach and a strong commitment to providing top-tier service.
Highly motivated with a positive attitude and a strong work ethic.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite and ability to learn new systems.
Ability to handle confidential and sensitive information with discretion.
