The RoleWe are seeking a highly skilled, proactive, and trusted Executive Assistant (EA) to support Tim Welsh, President and EVP, Customer Solutions & Operations.
This role is critical in enabling the executive to operate at their highest level of impact. The ideal candidate thrives in a fast-paced, dynamic environment, exercises sound judgment, anticipates needs, and consistently operates with discretion and professionalism.
As a strategic partner and day-to-day operator, you will manage complex calendars, drive operational efficiency, and support key communications, planning, and project coordination. This role requires top-notch relationship management skills, as every interaction with internal and external stakeholders matters.
Tim Welsh leads CCC's customer-facing functions, including sales, marketing, and customer service. This team includes approximately 1,100 employees and 30 executive-level leaders. Tim reports to Githesh Ramamurthy, CEO, and leads a staff of seven senior executives.

Key Responsibilities:
Administrative Support: Manage the President's calendar, including scheduling meetings, appointments, and travel management
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure the President is well-prepared for meetings with relevant materials and information
Communication: Serve as a key point of contact for internal and external stakeholders on behalf of the President. Demonstrate strong communication skills and executive presence to represent the executive and company in a professional way
Confidentiality: Handle sensitive information with the utmost discretion and confidentiality
Strategic Calendar Management: Coordinate and schedule meetings in a proactive manner
Relationship Management: Foster and maintain relationships with various stakeholders, including customers and vendors
Creative Problem-solving: Support strategic initiatives and project management efforts as assigned. Address challenges with innovative solutions
Event Management: Plan and coordinate leadership meetings, offsites, town halls, and other key events
Expense Management: Reporting expenses promptly and accurately. Use Workday (HRIS system) to handle vendor information, create purchase orders, and process invoices
Requirements:
A minimum of 10 years of C-Suite executive support experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience in the Workday HRIS system a plus; experience working with an HRIS system required
Ability to adapt to fast-changing priorities in a high-energy work environment
Proven ability to anticipate needs, managing multiple priorities, project management, administrative coordination, and logistics; demonstrate solid good problem-solving capabilities and strategic management
Excellent organizational and time-management skills with attention to detail
Strong written and verbal communication abilities
Strong interpersonal skills and the ability to work well with various stakeholders
High level of professionalism and discretion. Ability to maintain confidentiality
High emotional intelligence and the ability to handle various situations calmly
Self-directed and proactive Focus to free up executive time as much as possible
