    Breaking Down Equipment Ownership vs. Rental: The Utilization Rate That Matters I've noticed many contractors make equipment purchasing decisions based on gut feeling rather than hard numbers. Here's the analytical approach I have used to ensure we're maximizing every dollar. My Equipment Decision Framework: When evaluating whether to purchase or rent equipment, I create a simple but powerful break-even analysis that focuses on utilization rates—the key factor many overlook. First, I calculate two critical figures: The TOTAL hourly cost to rent + operate (including fuel, maintenance, delivery) The TOTAL hourly cost to own + operate (including depreciation, financing, insurance, storage, maintenance, fuel) Then comes the crucial step: determining the break-even utilization rate. By dividing total ownership costs by the difference between rental and ownership hourly rates, I identify exactly how many hours per year we need to use that excavator or skid steer to justify purchasing. Real-World Example: If we analyzed a mid-sized excavator: Rental: $8,250/Mo (operating cost) Owned Equipment: $5,610/hr (operating cost) Break-even: $5,610/$8,250 gives you a utilization percentage of 68%. You take that and multiply it by full utilization for your market. In this example we are going to use 1,200 hrs * 68%= 816 hrs. For this equipment, if we're using it more than 816 hours a year, ownership makes financial sense. Below that threshold? Renting is the financially sound decision. This approach has prevented teams from tying up capital in underutilized assets while confidently investing in equipment we use regularly enough to generate real savings.
