We often think about what is the best way to manage a SaaS application. As SaaS adoption continues to grow, the need to optimize and reduce spending has been a key priority for most of the organization. Today, the simplest way of managing the subscription has been the toughest because of its tremendous popularity and usage in the organization. But, are they being used efficiently?

Today, SAM is not working in silos. It is a huge responsibility to create an awareness and educate the teams to make them accountable and be responsible for the software they use and how they can contribute to the overall optimization of software.

Below are a few ways SAM professionals can help with managing the licenses and help organizations maximize usage and optimize their spending.

 1.    Monitoring and removal of termed users from access to the software. This requires sync with the organizational tracking of termed users and collaboration with the HR team to emphasize the importance of employees being active and using the software.

2.    Downgrading or choose a software with a lower edition which can fulfill the requirement. This helps in lowering the overall cost and not compromising on the work as required.

3.    Product knowledge is important when choosing the right product. This helps in deciding if it needs to be acquired as a single product or in a suite, depending on the organizational requirement. It helps in reducing the overall cost of the software.

4.    Shadow IT has been the key when procuring SaaS software. To ease the management of licenses, renewals and increase the visibility of their usage, it is important to bring all licenses under one agreement. This not only helps in the ease of managing but also brings a lot of possibilities for negotiation and discounts.

5.    Creating accountability and ownership of software in an organization is essential. For this, it is good to enable the tagging of the licenses across the organization. This increases transparency and visibility of the expenses around SaaS software.

6.    Monthly tracking helps in reducing the commitment to being with the publisher for a longer time. This helps in keeping a control on the usage of subscriptions.

7.    Managing the subscription would also require you to have a policy dedicatedly to SaaS applications which would emphasize inactive and termed users, no. days of inactivity, frequency of tracking, etc.

8.    Automating the tracking of licenses through an approval process till the revoke of subscriptions in the existing ITSM process.
