Time And Material

1-Introduction

This is a common type of project where the customer is billed for the hours worked, fees, materials used, and expenses incurred during the project. Time and Material projects are usually used for big projects when the exact details are unknown. It also offers flexibility in when the billing happens. For example, think about building a new building. The hours worked are based on the workers' timesheets. There may be additional charges like administrative fees. Materials like raw materials needed for construction are also billed. Plus, the customer might be charged for transportation or meals. The project's revenue is recorded after the customer is billed for all these things.

2-Creation of Project Group

  • The first step is to create the project group.
  • Go to project management and account > Setup > Posting èProject Groups to do this.
  • Here, Enter, the Project group Id, and Name.
  • In the General tab, select project type, ledger posting and line property search priority.
  • In the Ledger tab, Enter product cost – hour, product cost – expense and product cost – item for costing.
  • In the Cost Account tab, enter the cost account.

3-Creation of Project

  • Now, we will create the project. To do this, go to Project Management and Accounting > Projects > All Projects
  • Select the project type as “Time and Material” and enter the project name, project group, and Project contract ID.
  • Once, this is done click on the Create project.

4-Connect Work Breakdown Structure

  • In the action pane, click on Plan, and inside the activities, click on the work breakdown structure.

  • Here, click on the import button.
  • Select the work breakdown structure template, and then click OK.

  • Here we can see the work breakdown structure and the start date and task end date.

  • In the cost estimates, it can be seen the cost and sales price are also dragged from the structure template.

5-Enter the Costs in Journals

  • Once the work breakdown structure is published, we can enter the costs against the activities.
  • To do this, in the action pane Project, under activities click on the journal against which cost needs to be entered. In this case, we are entering hour cost so select Hour.

  • Click on New and select the journal.
  • Then click on Lines.

  • After that, click on new to enter the lines.
  • Select the activity number against which costs need to be incurred.

  • Then, Enter the number of hours aligned with the activities that have been used.
  • Update the cost price and sales price to calculate the total cost and sale price.
  • Then click on the Post button.

6- Cost Entered Through Timesheet

  • The cost can also be entered through timesheet as well.
  • To do this project management and accounting > Timesheets > My timesheets

  • Click on New
  • Enter the resource name, select the date and Click on Ok.

  • Then, Click on the New line
  • Enter the Project ID, Activity number, Category

  • Enter the number of hours that need to be recorded for the cost

  • Note, there is "No" transaction present in relation to resources on the project

  • Once the timesheet is completed, it can be submitted for review.

  • When the timesheet has been reviewed and approved, we can post the timesheet

  • The posted timesheet transactions are now reflected on the project transactions

7-Create Invoice Proposal

  • Once the cost has been entered, we will be able to create the invoice against that cost.
  • To do this, click on the invoice proposal in the action pane “Manage”.

  • Here, search for the invoices that can be chargeable.
  • Select them and click OK.

  • The invoice amount can also be amended if needed.
  • Once the amount of the invoice is completed, click on the post button to post the invoice.

8-Change the state of the Project to Finished

  • The posted transactions whether costs or invoices that have been incurred and posted during the project can be viewed in Posted transactions.

  • Once all the project activities are completed and invoiced, we can mark the project as finished.
