Navigating digital transformation: a set of reflections...

As I reflect on my experience with the digital transformation of tools and systems, several lessons stand out that were pivotal to the success (and sometimes, slippage) of our projects. Here are some of the insights which helped us overcome complex challenges, but also fostered a culture of collaboration and innovation with our stakeholders.

Understanding the Business Problem

The journey often began with a deep dive into understanding the business problem which needed to be addressed. It's easy to get caught up in the excitement of new technology, but without a clear grasp of the issue at hand, solutions can miss the mark. By taking the time to thoroughly comprehend the challenges, we were able to design solutions that truly addressed the needs of our users.

Unraveling Digital Spaghetti

One of the most daunting tasks was tackling what we affectionately called "digital spaghetti"—the complex architecture, or outdated systems that only a handful of people understood. These legacy systems often became bottlenecks, hindering efficiency and innovation. By carefully unraveling these tangled systems, we were able to streamline processes and create more intuitive workflows.

Treating Internal People as Customers

A critical shift in mindset was recognizing that our internal users were, in fact, our customers. This perspective change allowed us to approach technology transformation with empathy and a customer-centric mindset. We began to see our colleagues not just as end-users, but as partners in the transformation process.

Empathy and Prototyping

Before diving into solutions, we conducted empathy interviews with our internal customers. These conversations provided invaluable insights into their pain points and aspirations, helping us craft solutions that met their real needs. We then tested prototypes of our proposed solutions, gathering feedback that refined our approach and ensured we were on the right track.

Taking People on the Journey

Digital transformation is as much about people as it is about technology. We made a conscious effort to involve our team members throughout the process, keeping them informed and engaged. This not only helped build trust but also fostered a sense of ownership among our colleagues.

Bridge the gap: be the interpreter

We are fortunate to be surrounded by talented technologists who bring invaluable expertise to the table. Involving them early in the process of uncovering problems and articulating the desired state is crucial. Once we have a clear understanding of what we aim to achieve, we empower them to ideate on potential solutions. However, it's common for a gap to exist between the technical and business perspectives. Here, a strong interpreter is needed to bridge this divide. By actively engaging with both sides and walking towards areas of disagreement, we can facilitate a deeper understanding of each other's viewpoints. This role involves interpreting the situation from both technical and business angles, ultimately helping to determine the most effective path forward.

Communication and Culture

Creating a culture where communication is valued just as much as the tech fix was essential. Regular updates, open feedback channels, and a willingness to listen helped maintain momentum and address concerns promptly. Engaging with team members who tested our solutions and provided candid feedback was instrumental in refining our approach.

Leadership's Role

As the programme sponsor, being visible and accessible was crucial. Regularly listening to the project team, providing feedback, and consistently communicating the vision helped keep everyone aligned. Being available to make trade-off decisions ensured that we could navigate challenges efficiently and stay focused on our goals.


In conclusion, digital transformation is a multifaceted journey that requires more than just technological prowess. It demands empathy, collaboration, and a deep understanding of the problems you're trying to solve. By embracing these principles, we can not only modernise our internal tools and systems but also cultivate a culture of innovation and teamwork that propels us forward in today's fast-paced digital landscape.
