Job Summary The Medical Records Clerk is responsible for organizing and maintaining patients’ health information and records. This role involves performing clerical tasks to support the medical team, ensuring compliance with HIPAA standards, and contributing to the efficient operation of the medical setting. Responsabilities
- Records Management: Sort and save electronic faxes in patient charts daily, ensuring accuracy and timeliness.
- Data Entry and Indexing: Prepare and manage the fax server, index patient charts, and document information accurately from patients or providers into their charts.
- Organization and Safeguarding: Ensure that medical records are organized, accurate, complete, and stored securely per HIPAA and company policy.
- Digital Conversion: Create digital copies of paperwork and store records electronically in the clinic's main database.
- Record Routing: Route patient records to appropriate personnel or departments as required.
- Administrative Tasks: Prepare reports and forms, process medical record release requests, and maintain related logs.
- Customer Service: Provide excellent service to internal and external customers.
- Clerical Duties: Answer phones, fax and file confidential documents, and utilize basic internet and email tools.
- Compliance and Policy Knowledge: Adhere to chart control, access, and storage policies while ensuring compliance with established regulations.
- Perform other duties as assigned to support clinic operations.
Minimum Required Education, Experience & Skills
- High school diploma or GED equivalent.
- Strong data entry and computer skills, particularly with electronic health records (EHR).
- Attention to detail and excellent organizational skills.
- Strong customer service orientation and effective communication skills.
- Knowledge of medical terminology, ICD-10, and CPT coding.
- Ability to react calmly and effectively in emergency situations.
- Basic math skills and safe work practices in a clinical environment.
- Ability to follow through with delegated tasks and manage competing priorities.
Preferred Education, Experience & Skills
- 2-3 years of experience in a medical customer service role.
- Bilingual in English/Spanish preferred but not required.
Physical & Mental Requirements
- Ability to lift up to 50 pounds and push/pull objects using up to 100 pounds of force.
- Ability to stand or sit for extended periods.
- Fine motor skills for operating equipment or machinery.
- Ability to receive and comprehend verbal and written instructions.
- Logical reasoning skills for problem-solving.
- Occasional exposure to communicable diseases or bodily fluids.
- Occasional travel for clinic-related activities may be required.
