Implementing an ERP system is a significant step for automating and improving process management. We invite you to read an interview that reveals the behind-the-scenes implementation of an ERP system - Impuls Evo at Nestor Springs. The system is designed to increase operational efficiency and customer satisfaction, improve partner communication, and optimize processes. In an interview with one of the leaders of the system implementation project,
Barbara Golba
a presented not only the technical aspects of the process but also the key benefits and challenges of implementing the new solution in the company's daily operations.
What ERP system did you implement?
- Barbara Golba: After careful evaluation, Nestor Springs chose Impuls EVO as our ERP system. Impuls EVO is specifically designed for manufacturing companies, offering robust features tailored to support complex workflows and operational demands. By implementing this system, Nestor Springs aims to enhance process efficiency and improve collaboration across departments.
What are the key stages, deadlines, and milestones?
- Barbara Golba: The ERP implementation started a year ago with a kick-off celebration and a planning workshop, where we analyzed current processes in relation to the Impulse EVO system. After five months, we progressed to parameterization, intensive training, and configuration testing, culminating in the system's launch on October 1. We are now focused on refining the configuration and adding new features. The transition to full operational use is scheduled for the end of January 2025.
Which operational areas are experiencing the most significant impact from the new software?
- Barbara Golba: Impulse EVO, a solution designed specifically for manufacturing companies, is driving the most significant changes in production and warehousing. A key decision was to introduce batch control in production reporting, enabling full product traceability—a primary goal of the project—and the implementation of the High Storage Warehouse (MWS) module.
How will ERP affect order processing and communication?
- Barbara Golba: ERP implementation will significantly improve order processing and communication across the organization. By centralizing data and automating workflows, ERP systems streamline order management, ensuring that orders are processed more efficiently and accurately. Real-time updates on order status allow sales, production, and logistics teams to stay aligned, minimizing delays and errors. ERP also improves communication by providing a shared platform for teams to access up-to-date information, enhancing collaboration and reducing the chances of miscommunication. As a result, customers can expect faster response times and more reliable order fulfillment.
How do you anticipate ERP implementation enhancing coordination with key partners?
- Barbara Golba: The implementation of a new ERP system is likely to facilitate better coordination with key partners. By centralizing and streamlining data, Impuls Evo enables real-time sharing of information, such as inventory levels, production schedules, and order statuses. This increased visibility allows for smoother collaboration with suppliers, manufacturers, and distributors, helping to align timelines, reduce delays, and improve overall supply chain efficiency. Automated processes also minimize manual errors, making communication more accurate and timely. In the long run, these improvements foster stronger partnerships, enhanced transparency, and more effective planning.
What processes will be optimized to guarantee repeatability and precision?
- Barbara Golba: ERP systems enable the tracking of raw materials and streamline quality control processes by providing real-time data on inventory levels, material usage, and product specifications. This ensures that only high-quality materials are used and that quality standards are consistently met throughout production.
Can we expect shorter lead times?
- Barbara Golba: In the long run, Impuls Evo will streamline our processes and allow for shorter lead times. The initial period following the system's launch in the production base is often characterized by "growing pains" or early-stage challenges. We are working with BPSC consultants to solve problems on an ongoing basis to prevent delays in order fulfillment.
What areas will the business benefit most from the system implementation?
- Barbara Golba: ERP systems enable real-time inventory tracking, optimizing supply chain efficiency by minimizing stockouts, overstocking, and waste. This leads to more accurate demand forecasting and better resource allocation. In production, ERP enhances scheduling, resource management, and quality control, streamlining workflows, reducing downtime, and boosting overall efficiency. Additionally, integrated CRM features offer deeper insights into customer interactions, sales trends, and order management, fostering improved customer service and strengthening relationships.
What training, tutorials, and ongoing support have been provided to employees following the ERP implementation?
- Barbara Golba: The most important aspect is to practice and use the application regularly in daily work. Everyone learns best by making mistakes, which helps us quickly understand how to do things correctly. BPSC offers a Knowledge Base, where employees can access videos, instructions, and FAQs. Additionally, we are continuously supported by the implementation team, who are available to answer any questions and provide guidance as needed.
Is there anything you would like to convey to the team?
- Barbara Golba: I would like to express my sincere gratitude to each team member for your exceptional commitment, effort, and determination in implementing the new ERP system. This project demanded not only expertise but also adaptability. Thanks to your hard work, we successfully navigated every stage of the implementation. The impact of your efforts will be felt for years to come. I truly appreciate your perseverance, professionalism, and contributions, as well as your ability to exceed expectations. Thank you for making this a success.
Thank you and stay tuned for the next interview! :)
