This is how we use Zoom's AI - a JMJ Case Study

Over the past month, we’ve been testing out Zoom’s new AI Companion, on a variety of things that will help not only me but our team.

We've done the research so you don’t have to. Whether you’re in back-to-back meetings, coordinating projects, or following up with clients, the new Zoom tools can save you hours so you can do more of what you want. I personally estimate that I'm saving up to 3 hours per week just with calls alone. Winner winner chicken dinner!

Here’s a round-up of what we’ve discovered so far when it comes to Zoom AI integrations, and how we’re already using it at JMJ.

What Does Zoom AI Integrate With?

Zoom AI connects seamlessly with tools you’re probably already using, for example:

  • Google Workspace (Gmail, Google Calendar, Google Docs)
  • Microsoft Office & Outlook
  • Zoom Docs & Zoom Team Chat

Zoom AI works by drawing information from the integration sources, to help you prepare for meetings, gather relevant background context, summarise discussions, and even generate written content all without switching between tabs. This means less time searching and more time delivering. It's the dream isn't it?

Keep reading to find out how we have been using AI at JMJ. We're happy to be the case study for those who have not started using it yet. There is nothing like real life application.

How We Use the Meeting Summary Feature at JMJ

One of the most helpful tools we use regularly is Zoom AI’s automatic meeting summary. After each Zoom call, AI Companion generates a well-structured, easy-to-read summary that includes:

  • Key discussion points – A concise breakdown of the main topics covered, so everyone’s on the same page. This reduces the need for minute taking. We've found this to be highly intelligent and pretty spot on when it comes to who said what.
  • Next steps and action items – All actions are highlighted in a section of their own (as well as being in the body of the summary). Clearly listed follow-ups, who they belong to, and deadlines if mentioned. This is super easy for us then to follow up on who is going to do what and by when.
  • Speaker labels – Each comment or idea is tied to the speaker, making it easier to track contributions (you can even edit or tag speakers afterwards). If logged in using your name Zoom will use your name to assign your actions or highlight what you spoke about in the summary.

How Our Clients Benefit from our use of Zoom's AI technology

  1. To update clients quickly – We can copy and paste highlights or action points into emails or shared docs.
  2. To keep our internal team aligned – Especially when someone misses a meeting, they can catch up in minutes.
  3. To stay on top of projects – We review summaries regularly to check task progress and upcoming priorities.

It’s not just about saving time, it’s about ensuring that nothing slips through the cracks and that every meeting ends with clarity and momentum.

There is so much more you can do and over the coming weeks we are going to be experimenting with a whole host of AI options to do with Zoom's integrations with Google, Microsoft and Zoom Docs. Why because between Monday.com and Zoom, Zoom has become one of the Apps that I use the most in my business for meetings.

How Our Clients Benefit from our use of Zoom's AI technology

  • Smarter Meetings
  • AI Companion helps us prepare for meetings, takes real-time notes, and automatically creates summaries. No more looking at scribbled notes. You can focus on the meeting not on missing important comments or actions.
  • Catch Up Fast Missed a meeting? AI can pull highlights, decisions, and next steps across meetings, chats, and documents.
  • Takes Action for You It’s more than just a helper – AI can schedule meetings, draft follow-up emails, and even write reports based on your conversations.
  • Customisabler Workflows You can fine-tune Zoom's AI with the way you speak, connect your favourite tools, and make it work the way you do.

Why This Matters

This isn’t about replacing people—it’s about cutting through the noise, freeing up your time, and helping you focus on what truly matters: building relationships, driving growth, and doing meaningful work.

At JMJ, we've explored these tools so you don't have to. If you're curious about how AI could support your team or streamline your processes, we're here to help.

Let’s explore what’s possible together.
