How organizations design & structure delivers during adversities - Learnings during Pandemic outbreak?

The past year has been a testimony to how organizations worldwide have rapidly shifted gears, bounced back, and revamped themselves to overcome one of the greatest crises ever known to humanity. The Covid-19 pandemic turned out to be an eyeopener by shattering many myths and debunking preconceived beliefs on the structure and design of organizations. Despite the initial apprehensions during the earlier months of the pandemic, most companies were agile enough to not just adjust to the “New Normal” but thrive through it. The organizations' goals rapidly evolved from ensuring business continuity to achieve maximum productivity during the entire timeline of the first wave of Covid-19. The definition of organizational design and structure expanded beyond the previous notion of office buildings and cubicles, and the concept of virtual and borderless workplaces gradually transformed into reality.

When the pandemic first struck in December 2019, little did the world know then that it was about to witness its most remarkable operational shift ever. By March 2020, Covid-19 had already unraveled its disastrous nature and left organizations to deliberate and ponder how to continue their business despite the looming uncertainties. Then, companies introduced work from home policy despite concerns surrounding resource constraints, data security, network availability, and much more. However, a few months into the pandemic, most of these organizations reported a growth in their productivity despite previous apprehensions around the reengineered organizational designs and structures due to the increased flexibility in the new working environment.

Flourishing in the Pandemic

With businesses becoming more volatile, uncertain, complex, and ambiguous (VUCA), it is imperative that organizations now have far more agile and adaptive abilities compared to what they were a decade ago. Hence, it was not a big surprise to witness them make such incredible transformations during the pandemic outbreak. For sustaining in the VUCA age, businesses should constantly upgrade themselves both technologically and intelligently to withstand the constant storm of challenges. Quick and informed decisions become the make-or-break factor here, and even a tiny error in judgment can create substantial damages. The structure and design of organizations form the crux around which its entire business revolves. Therefore, the organizational structure needs to be more robust, agile, and adaptive to tackle complex and unforeseen challenges.

For flourishing during the pandemic, the mantra for organizations should not be to survive but to thrive and prosper by beating all uncertainties and triumphing every hurdle. However, achieving such incredible transformations cannot be attained overnight. They require leveraging cutting-edge technologies catalyzed by the proper execution of sound management decisions. In short, such groundbreaking shifts need the perfect symbiosis of man and machines.

Efficient management practices greatly enhance the agile and adaptive mindset of the organization and its people. The pandemic was one such instance that put the management to the test. While many successfully led their organizations towards greatness despite the tumultuous times, many failed to stand out as leaders. Many rose to the challenges and became leaders for others. Such skills require reasonable management practices where one needs to adopt an “out-of-the-box” thinking approach to innovate themselves and keep growing. For instance, offline retail stores shifted to online platforms during the pandemic and implemented augmented reality to give their users a store-like experience from the confines of their couches.

Moreover, while innovating upon their structures, organizations should also ensure that they do not drift away from their core values. They should also keep instilling a sense of trust in the minds of their clients and customers by living up to their brand image. These are essential in the virtual working scenario where everything is solely based on trust, values, and ethics.

Rethinking Organizational Structure

The Covid-19 pandemic urged businesses around the world to reimagine and rethink their organizational structures. As more and more cities went into complete lockdown, the corporate design transformed gradually to the virtual workplace model. It ensured more employee empowerment and eliminated possibilities of employee micromanagement which was persistent earlier. It also led to reducing management layers and showed the path towards a more agile working model. As a result, teams have become more flexible and dynamic as they are now more adept at handling challenges despite connecting from different corners of the world.

The virtual workplace scenario also enabled employees to manage their personal and professional commitments simultaneously and led the way towards creating more flexible working hours instead of the pre-Covid norm of stringent working policies. It has also enhanced the accountability of employees as they now have the onus on themselves to accomplish their tasks. It, in turn, has empowered employees more and has ensured that even lower-level employees have gained the confidence to take up challenges independently instead of relying overly on their managers.

Learnings from the Pandemic and Gearing up for the post-Covid world

The pandemic turned out to be a "Black Swan" event that accelerated organizations' evolution and technological transformation way beyond anyone's comprehension. It amplified the managerial processes and speeded up decision-making. It also enabled organizations to realize their technical potential and allowed them to upgrade themselves despite the adversities. The uncertain and adverse situation gave businesses the chance to think the unthinkable and excel beyond their expectations. Organizations had significantly gained a massive momentum of progress while responding to the pandemic. Most of them still maintain the pandemic-infused momentum to achieve their strategic goals way earlier than they had targeted. While virtual workplace seemed a highly unrealistic situation in the pre-Covid times, it has become the “New Normal” for businesses.

With improved medications and a quick global vaccination drive, the wrath of the pandemic is expected to subside eventually. But “what next” remains the question for businesses. While most companies are successful with their work-from-home policy, there are increased concerns surrounding the mental well-being of employees, and organizations are trying to introduce a hybrid working model which is to stay in the post-Covid world. The pandemic indeed turned out to be a catalyst that made organization reengineer their decade-old structures and designs and created the path towards the creation of a more agile, empowered, flexible, and better working model.
