The Eight Steps of Complex Process Automation

As organizations increasingly adopt process automation to improve efficiency, understanding the right approach can make or break the success of an automation initiative. Complex processes require careful planning, assessment, and execution. Here’s a breakdown of the eight essential steps for implementing process automation effectively.

Business Steps

  1. Process Identification Begin by identifying and prioritizing processes based on their potential and complexity. A robust methodology will ensure the right processes are chosen for automation.
  2. Process Assessment Conduct a detailed analysis to determine if the processes are still suitable for automation. This step evaluates the complexity and feasibility of automation.
  3. Process Redesign Upon assessment, many organizations discover inefficiencies in their existing processes. This step allows for optimization and standardization before moving forward.
  4. User Stories Definition Clearly document the process details, including exceptions, to create user stories that guide RPA (Robotic Process Automation) developers.

Technical Steps

  1. Development At this stage, developers create RPA workflows based on user stories and ensure that processes are fully automated.
  2. UAT (User Acceptance Testing) The automated processes are tested to catch bugs and exceptions missed during earlier steps. This ensures the workflows are functional and reliable.
  3. Hyper-care A crucial post-deployment phase where the automation is monitored for around two weeks. Any remaining issues are fixed to ensure stability and reliability.
  4. Operational Support Long-term success requires ongoing monitoring and support. Errors are tracked, scripts are updated, and performance is optimized over time.

Implementing these steps ensures that automation initiatives are successful, streamlined, and sustainable. Each phase—from identification to operational support—plays a critical role in delivering real value to businesses.
