A central starting point – the PI website
Having the team board virtualized (and digitalized by the way) is good – but to run the PI planning event requires more. Second key element was a small website for everyone as a starting point. Based on Google sites, in our case the web page bundled together all key resources – the agenda, the conference calls and chat rooms, the presentations, the team boards and more. Knowing the address of the site became the only thing you need to know to participate in the event. In addition, a Session Map gave an overview on where to easily find everything.
The general concept was developed over the course of a few days in strong exchange with fellow RTEs and internal coaches. After a first live test on PI plannings in early April, it was refined, extended and condensed in virtual PI planning demonstrator. The feedback was excellent – from “as good as real planning” to “It’s easier than manual (boards)”, “environment friendly” and “no risk of losing stickies”. Companywide the concept will be used now by several trains and large solutions. Even if people will come back on site in the next months, mayor elements will be kept in the future.
Summary
Based on GSuite, a Google site and virtual team boards a virtual PI planning can be run with same quality and outcome as physical sessions. With the digitalisation of paper-based processes additional benefits can be achieved.

4yI've made roughly the same experience within a different ART but with a similar setup. I can only confirm that a virtual PI planning event is still worth doing and brings good results. Of course everybody needs to get accustomed to the new circumstances and new tools to be used but after that it's almots naturally. During the PI retrospective we also collected several things we want to keep even if we did the PI Plannings personally (like the digital teamboards). So this is also an opportunity to completely rethink the setup of a more conventionally PI Planning by keeping all the digital goodies to further improve collaboration.

4yThanks for sharing these insights, Ralf! Covid is indeed a big challenge for big transnationals projects and teams like yours, which used to meet personally in regular basis. Very interesting the way you managed the PI Planning, this type of format can be as well used for marketplaces or similar events. I am curious to see what other best practices you post from SaFe that can be used and improve our daily work.
