🔄 Automating DRI Updates for Terminated Employees: A Workday to LeanIX Integration

In large organizations, ensuring a smooth handover of responsibilities when an employee leaves is crucial, especially when they hold critical roles like Data Responsible Individual (DRI) for applications in LeanIX. When these employees are terminated, manually reassigning their DRI responsibilities can be a tedious and error-prone process. To address this, we implemented an automated solution using an integration between Workday and SAP LeanIX. 🤖

💼 About Workday and LeanIX

Workday is a comprehensive cloud-based system for human capital management (HCM) that helps organizations manage employee data, payroll, benefits, and more. It is widely used for managing employee life cycles, from onboarding to offboarding. In this integration, Workday provides essential employee status changes, such as terminations.

LeanIX is an Enterprise Architecture Management (EAM) tool that helps organizations manage their IT landscapes, focusing on applications, data, and business capabilities. It is often used to assign responsibilities for critical applications. In this scenario, LeanIX is responsible for tracking DRIs (Data Responsible Individuals) for each application.

🚨 Problem

When a full-time employee (FTE) is terminated, particularly those with DRI responsibilities, it is essential to reassign their roles quickly to prevent applications from being left without a responsible individual. This process must identify terminated employees, check if they are assigned as DRIs in LeanIX, and reassign their responsibilities to either their manager or a designated Application Portfolio Manager (APM), depending on their reporting hierarchy.

💡 Automated Solution

Our solution automates the entire process of identifying and updating DRIs for terminated employees. It begins by listing the terminated employees using Workday's change file and then checks in LeanIX for any applications where they are listed as DRIs. If the employee is a DRI, we take appropriate actions based on their reporting structure:

👩💼 Manager Assignment: If the terminated employee’s manager is at Level 9 or below, the manager is assigned as the new DRI for all applications where the terminated employee held the role.

  

👨💼 APM Assignment: If the manager is at Level 10 or above, the APM contact is assigned as the new DRI.

Once the new DRI is assigned, we remove the terminated employee’s subscriptions from all relevant applications and notify the stakeholders (manager or APM) via consolidated Slack notifications. This ensures they are aware of their new responsibilities and can take action if necessary.

📲 Notifications and Subscriptions

In addition to updating the DRI for each application, our solution handles critical notifications:

📩 Manager Notification: A single Slack notification is sent to the manager, informing them of the applications they are now responsible for.

  

📨 APM Notification: If the APM is assigned as the DRI, they receive a consolidated Slack notification as well, listing the applications they are now responsible for.

This notification system ensures all stakeholders are promptly informed, preventing any miscommunication or lapses in responsibility.

Automating the process of updating DRIs for terminated employees significantly reduces manual workload, minimizes errors, and ensures no application is left without oversight. The integration between Workday and LeanIX provides a streamlined, reliable way to maintain the continuity of application management responsibilities, improving both operational efficiency and data integrity across the organization. 🚀
