WHAT WE'LL NEED
The Workplace Operations Manager ensures the corporate office (One Wing Way) operates seamlessly by overseeing facilities, vendor relationships, and administrative processes while leading a high-performing team. This role is responsible for maintaining a professional, welcoming, and efficient work environment that reflects company values and enhances employee productivity.
Office Operations
Standards and Policies : Develop and enforce office standards, policies, and procedures to create a clean, organized, and productive work environment.
Facilities Oversight : Manage office facilities, including repairs, maintenance, safety checks, and cleanliness of shared spaces.
Vendor Management : Serve as the primary contact for vendors and service providers, managing contracts, pricing negotiations, and performance.
Supply Management : Oversee inventory and procurement of office supplies, ensuring timely restocking of breakrooms, mailrooms, and common areas.
Budget Oversight : Prepare and manage office budgets, track expenses, and analyze variances to ensure financial objectives are met.
Mail and Shipping : Supervise mail distribution and courier services, ensuring packages and correspondence are handled efficiently
Event Coordination : Support the planning and execution of company meetings and events, including logistics, catering, and vendor coordination at One Wing Village in collaboration with the events team.
Process Improvements : Continuously evaluate and refine office operations to enhance efficiency, reduce costs, and support team effectiveness.
Team Leadership and Development
Expectations and Standards : Establish clear expectations, workflows, and performance standards for the Workplace Operations team, including receptionists and support staff.
Coaching and Development : Provide ongoing coaching, training, and mentorship to team members, empowering them to succeed and grow in their roles.
Performance Management : Conduct regular team meetings, individual check-ins, and performance evaluations to ensure accountability and alignment with goals.
Role Modeling : Demonstrate professionalism, reliability, and exceptional service to set the standard for the team.
Conflict Resolution : Act as the point of escalation for operational or interpersonal issues, resolving them promptly and effectively.
Strategic Contributions: Proactively create and implement strategic plans that contribute to positive team member engagement and sentiment.
Operational Efficiency : Identify opportunities for process improvement and cost savings while maintaining high standards of service.
Cross-Functional Collaboration : Partner with other departments, such as HR, IT, and Facilities, to align office operations with company objectives.
Special Projects : Lead or contribute to special projects and initiatives as assigned by senior leadership.
Crisis Management : Ensure preparedness for emergencies, including coordinating responses to facility issues and business continuity planning.
Reporting and Insights : Provide regular updates to leadership on office operations, highlighting achievements, challenges, and opportunities for growth.
Guest and Team Member Experience: Maintain a service- minded approach that ensures all individuals at One Wing Village have a continuously positive experience.
Visitor Management : Ensure guests, clients, and employees receive a warm and professional experience upon entering the office.
Reception Oversight : Provide guidance to the receptionist to ensure seamless front desk operations, including visitor logs, security checks, and guest services
Employee Support: Act as a resource for employees, addressing operational concerns and facilitating solutions that enhance their workplace experience.
WHAT YOU'LL NEED
High school diploma required; bachelor’s degree in business administration, operations management, or a related field preferred.
7+ years of experience in office management, facilities operations, or a related administrative role, with demonstrated success in driving process improvements and operational efficiency.
Proven ability to manage budgets, vendor relationships, contracts, and office policies and procedures.
Leadership experience, including setting expectations, coaching, mentoring, and supervising staff to achieve goals.
Strong organizational and multitasking skills with exceptional attention to detail and time management abilities.
Excellent communication and interpersonal skills, with a focus on fostering collaboration and a professional, welcoming environment.
Proficiency in Microsoft Office Suite; familiarity with facilities management software or tools is a plus.
Experience in event coordination, crisis management, or implementing workplace compliance standards is desirable.
A service-minded, solutions-oriented approach with the ability to adapt quickly and implement creative solutions in a fast-paced environment.
