Job Summary
The Community Events Assistant will be an extremely organized individual with the highest level of attention to detail and professionalism. Close, daily communication with team members is necessary, especially when support for special projects is needed. Attendance will be required at development events that sometimes take place outside the office and outside of regular work hours. To perform this job successfully, an individual must have excellent computer and organizational skills. Attention to detail and the ability to organize information will be critical. Strong written and verbal communication skills are necessary. The individual must be able to work in a fast-paced environment and be able to start and resume work on projects as priorities change. This position requires a team-oriented person who understands the dynamic of working with a management team to achieve Open Hand’s fundraising goals. The right candidate must present themselves professionally and maintain professionalism and discretion with donors and donor information.

Duties/ Responsibilities
Special Events:
Assist the Senior Community Events Manager in logistical planning and executing all fundraising events related to Open Hand some of which include Neighborhood Nights, The Open Hand Charity Golf Classic Tournament, Major Donor Epicurean Receptions, Chef Spotlight Series, Party in the Kitchen, and various third-party events. Assist with communication to vendors, donors, event guests, and internal staff as needed. Assist Senior Community Events Manager with event guest management as it relates to the specific event Identify and solicit auction items for all major fundraising events. Keep a detailed and organized catalogue of recruited auction items (physically and digitally). Assist with all Open Hand fundraising events which sometimes fall outside of regular office hours.
Budgeting and project management: Create and adhere to project budgets and timelines for special events. Track, collect and report on funds raised for special events. Monitor progress of registration, ticket sales and income goals and adjust plans as appropriate. Conduct post-event follow up and action steps, including debriefs with staff and volunteer leadership, distribution of acknowledgements and sponsorship reports, and working with the internal and external resources to support event-related media relations efforts.
Recruitment and retention of third-party events Oversee the delegation of various responsibilities including recruitment of appropriate volunteers, stewardship of relationships with event organizers and communications/marketing, as needed, to the Open Hand donor database. Maintain effective working relationships with event volunteers (internal and external).
Vendor relations: Work closely with and negotiate contracts with external vendors to coordinate goods and services for special events. Manage relationships and bidding process to ensure the best service and most efficient cost for goods and services.
Event attendance: Attend and work at Open Hand in-house events and third-party events that may occur outside the office and outside of work hours.
Additional Responsibilities
Work closely with the Director of Development, Senior Manager of Corporate and Faith Partnerships, keeping them informed of all activities related to Special Events and community outreach.
Work with Communications Manager to provide content for newsletters, social media posts, and other communications that are related to events.
Lead by example, always representing Open Hand in a professional manner both in conduct andappearance, assuring to be suitably attired and groomed during working hours and anytime the candidate is working on behalf of the organization.
Required Skills/Abilities
Exceptional relationship management skills are required as this role will interact with donors and stakeholders on a regular basis.
Excellent written and verbal skills are necessary.
Flexibility in regards to working evening and weekend hours is required.
Strong attention to detail, the ability to organize information, and prioritize will be critical skills. The individual must be able to work in a fast-paced environment and be able to start and resume work on projects, as priorities change.
The ability to inspire and support volunteers and create a positive experience for them is also necessary.
Education/Experience
Bachelor’s degree or equivalent work experience highly preferred.
At least two years of previous experience in organizing and coordinating events required; with prior experience in fundraising preferred.
Position requires oversight of detailed record keeping and file management.
Candidate must reflect a solid understanding of fundraising concepts and event planning.
Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
Experience using a donor management system preferred.
Familiarity with non-profit mission messaging and fundraising and/or customer service and sales are preferred.
Integrity, honesty, ethics, creativity, and proactive thinking are needed.
Must be a self-starter who can independently assess and determine priorities
Must present self professionally and maintain professionalism and discretion with donor information.
Physical Requirements
While there is some flexibility, the Community Events Assistant is expected to work on-site at Open Hand’s campus four days a week, as coordinated with their supervisors, with the option to work one day remotely contingent upon performance and as approved by supervisors.
The employee is regularly required to sit at a computer, answer the telephone, file, and perform other office duties.
The employee is frequently required to walk, stand, drive a car, and lift and/or move 25 pounds.
The employee must have a valid Drivers License.
