What are the best ways to manage your time as a video producer?

As a video producer, setting realistic goals is essential to be successful in this field. It all begins with a clear understanding of my strengths, limitations, and the resources at my disposal. I take the time to assess my skills, equipment, and budget to ensure that my goals are feasible and attainable. I also consider factors like the scope of the project, client expectations, and current market trends. Setting achievable milestones and deadlines helps me maintain a sense of purpose and motivation. This approach enhances the quality of my work and gives me a strong reputation in the video production industry. In the end, it's about striking a balance between ambition and realism to deliver outstanding results consistently.

As a video producer I start with the big picture; what is the scope of the project? The target audience? The objectives we are aiming for? From there I'll look at the resources available, the equipment, budget and the time. It's key to be realistic of what your resources provide and where there may be constraints. Next is outlining a timeline based on your priority tasks and always include time for unexpected challenges.

It's easy in the freelance/gig economy to overbook ourselves as media producers. The key is to make sure you have dedicated enough time to do a good job on the project(s) you are are committed to for your clients (or yourself and your investors). The hardest part about our work in media is this - you're only as good as your last mistake! That may sound harsh, but it's true. You may have done phenomenal work on previous projects, but if you screw one up, it wipes your slate clean. Stay focused. I'm a big fan of booking time for specific work and accomplishing that work within those time parameters to make sure I'm on track and meeting deadlines. Commit to what you can deliver. Don't be a slacker! Give your client/project your best!

As video producer, time management is important. Project management tools, yes, but the main thing is organising. If you have great talents in your team, organise task for them and dont try to do everything by yourself. I have seen many times that this is easier said than done for many people.

As a Video Producer, you want to think of these tasks as a recipe. Set aside dedicated chunks of time for different project tasks, ensuring a smoother and more streamlined outcome. It's about making your work process as seamless as possible, just like crafting a delicious dish step by step. For example, schedule all scriptwriting/pre production or editing tasks on specific days. Group together tasks that go together.

I would set up a template for anything that is the same or similar. This way I could copy and paste what I could. It allowed me to focus on the creative areas.

In my role as a video producer, I've learned the importance of avoiding multitasking to maintain the quality and efficiency of my work. Video production demands a high level of attention to detail, and juggling multiple tasks can lead to errors, missed opportunities, and increased stress. To stay focused and deliver the best results, I consciously prioritise and complete one task at a time, allowing me to immerse myself in each aspect of the production process, from concept development to shooting and post-production. By dedicating my full attention to one task, I can ensure it receives the time and care it deserves, enhances the quality of my work and reduces stress.

Multitasking is really not good way to manage your time as video producer. Only times to multitask and do multiple things at once, is when video rendering takes time on your another screen. And actually, this is not even multitasking anymore. So basically, just focus on one thing at a time.

Yo aprendí a conocerme, el cuerpo da señales de estrés y hay que saber reconocer esas señales para evitar el conocido bournout. I schedule specific time for specific tasks. I move on when the clock runs out to keep me fresh and focused. For me, I like to move from creative to creative to keep me from getting bored or frustrated. Many times in writing when my pre-assigned time is up, I'll purposely go back and delete the last half of the last sentence so that when I return, I'm not looking at a finished thought but need to re-engage to get me back in the groove. That's not so with editing though. I like to finish thoughts so I can start fresh on the next idea when I come back. And take time to schedule time for yourself to workout, eat, rest, walk - whatever it is that can give you life and healthy habits besides your working. You need to take care of yourself first.

When you want to perform best and save time, you need to take breaks. Some days start better than others and you need to know when to take breaks. For example. If im fatigued and try to force myself to work 8hr day, its impossible to give it 100%. And in this fatigued situation, if we compare this to my method of watching first one episode of my favorite show, taking 15min nap, waking up and listening 15mins calming music while closing my eyes, and then starting work, its going to be much more productive even though i only worked 6hr 30mins. Nobody sees how many hours you worked, they only see how much time it took to get results.

As a video producer with other communications tasks I find time blocking to be incredibly beneficial in enhancing productivity and allowing time to recharge! By organizing my work into manageable chunks of time it's easier to tackle large workloads and allows for clearer prioritization.

Prioritization will help in the long run. This always helps in planning for simultaneous projects. One can prioritize according to shoot dates or after consulting with clients but it should be given utmost value to streamline and smoothen one's process. This way a person would always be informed about delivery deadlines and allocate resources accordingly.

I don't actually tell clients that I am going on vacation... ever. For some reason, they think they can interrupt this time. But if I'm "booked" on another gig, well, that's different somehow - so I am ALWAYS booked! Yes, it may be me booked on vacation with my family, but I AM booked and I do not let or allow that to get interrupted by client work. I keep that time sacred to make sure that I can be refreshed and renewed to keep performing at the high level I demand of myself in the creative/media world. Work hard - play hard. I also have a very rigid "Your emergency is not necessarily my emergency" philosophy that goes along with my "Good, Fast, Cheap - pick two" philosophy, especially if previous discussions have ensued on the topic.
