What are the best practices for tracking donations and pledges?

The most effective fundraising shops I've seen are the ones who understand how to track donations and pledges from a fundraising prespective (as opposed to a finance prespective). Remember the fundraising CRM is for fundraising, set it up to give you the best and most efficient path for better fundraising efforts.

I agree with Jenny, not only do you need a CRM that functions for kicking out pledge reminders, but you also need a system that ensures the money is being spent in a timely manner on the program that was offered to the donor and that reporting is happening as was planned and agreed to. We need to build trust and transparency and systems should allow us to ensure that reports don't get missed or funds unspent! This allows us to build better relationships for future asks and not lose momentum and engagement with our current donors.

Remember to also track donation type in order to segment into different donor types (CSI; Foundations/Trusts;Government;Individuals; etc). This will inform your fundraising strategy going forward. You now have the opportunity to focus your organisation's fundraising resources in the type of donors with the highest returns. While also giving you the opportunity to improve or change tact the donor types where you see growth.

You need a CRM, like Salesforce, Raisers Edge or Microsoft Dynamics. Information needs to be stored securely, which is not an excel spreadsheet.
