How do you manage a remote project team?

In my experience, beyond the already successful recipe of clear goals, budget & scope, I believe it is of great benefit for the team to use Milestones when defining goals and task structure. Often times Milestones are overlooked because of a perception of the project being too small or too simple to include them. The truth is for every project of any size, it must have and must be pointed out, what are the big steps that define a successful delivery, for every release or phase.

Transparent communication is vital. In my experience, project managers should not only provide task-related information, but also ensure team members understand assignments, address questions, assess deadlines, and welcome their team member's input. By valuing their expertise and fostering a collaborative environment, we ensure everyone is aligned, engaged, and motivated to achieve successful outcomes.

I have managed remote teams for over a decade and I would say that managing a remote team starts with hiring the right people. If you hire people who are passionate about what they do, and get the right person in every seat, then it becomes more about motivation rather than management. Most people want to feel challenged and will do a great job when they have an opportunity to excel, and know they will get credit for their achievements. Setting goals that move the organization and tools to track accountability also are important, but if the right people aren't in the right seats then none of that matters much. Passion and commitment to a team vision is key for growth.

Expanding on that further, communicating HOW you will communicate is an important input for successful project communication. In fact, we put our project communication plan in our kickoff deck that outlines all of the different ways we will communicate based on the communication type. We also opt for transparent tools like ClickUp that allow for 360 visibility and removes the project manager as the gatekeeper (aka throttler) of project information.

I wholeheartedly agree that a key factor in managing remote project teams is strategic tool and platform selection. But it doesn't stop there. Equally vital is establishing team norms that outline how these tools are put to use. This includes filing system nomenclature, response time expectations, out-of-office protocols, and even video call etiquettes (ex. screen on or off during calls). By setting these norms, we create a shared understanding of success within the team's ecosystem, providing a guiding light for collective achievement amongst the team and ultimately within the organization.

It is helpful if the manager takes the time to understand what the existing team is used to in terms of tools. I believe a good manager/project manager should be flexible in terms of tool deployment. Sometimes recycling the same old techniques are just less effective in new teams.

I believe that a careful tool selection is an essential part of managing a team. Adaptability is key in this sense. Balance familiarity with existing tools in the team or company while exploring new ones for enhanced efficiency provides the best results, in my opinion. A flexible approach ensures seamless collaboration and optimized workflows for successful projects and happy teams.

I would say that there are three key factors to keep in mind when selecting a platform for managing a remote project: Ease of Use: The tools must be user-friendly for all team members, regardless of their technical expertise. For instance, having drag-and-drop features can simplify tasks and make the tools more intuitive to navigate. Reliability: The tools must function consistently. Online tools have the advantage of making data accessible from anywhere to anyone, unlike local files that might be limited to certain devices or locations. Compatibility: The tools should be compatible with the team's devices and systems. (This is also a strong reason to consider using a cloud-based application)

Selecting the right tools and platforms for remote work involves a systematic approach to ensure seamless collaboration, communication, and productivity. My top 3 considerations are : a) Needs and Priorities: Understand your team's specific requirements, such as communication, project management, file sharing, and security. b) Integration: Ensure that the tools you choose can seamlessly integrate with your existing systems and workflows. This prevents fragmentation and enhances efficiency. c) Scalability: Choose tools that can accommodate your team's growth. Scalability ensures that the tools remain relevant as your remote workforce expands

I personally believe the most powerful tool to ensure a successful delivery process, is strong clear and effective communication. There is a fine line between stating clear goals, rhythm and frequency, versus falling into micro-management. The art of being an effective project leader, has its origins in the ability to persuade the team with a valid and honest perspective, expectation and strategy for top performance teams in project execution!

Managing a remote team requires a balanced approach between recognizing each member's uniqueness and establishing a team dynamic and communication style. Fostering a sense of belonging and accountability is crucial for successful projects. Effective communication is the second cornerstone, setting clear expectations and being open to team member's input. Building a strong team spirit, especially for a remote team, means embracing diversity while ensuring every member feels valued.

When feasible, try to find ways to connect with the teammates as humans. There’s so much to learn in terms of other cultures, behaviors, and beliefs. If you truly listen and make the connections, it will set up future communication for greater success. I would also consider defining communication expectations early on in the project charter development phase.

When managing a remote team communication is priority and over communication can be brutal. Finding the right balance is an art. In the absence of physical or geographical presence, teams can often fall into the habit of communicating just for the sake of communicating - i.e. meetings for the sake of meetings. There is power in a well crafted agenda with clear objectives for that meeting. If there isn't one, is there really a need for a meeting or just an email? Also, because of so many synchronous and asynchronous forms of communication, a remote team member can feel obligated to be available all of the time. The majority of us are not on call surgeons. Help team members create boundaries for themselves that they feel empowered to hold.

In my experienxe, managing remote teams is a combination of things. First of all, we start with trust, the remote team needs to know that they can reach out to you and get your advice and support but that you also encourage the remote team to use their strength of local knowledge or their own skills too. Secondly, be culturally sensitive, the team and your own and use it to everyone's advantage. For example, some cultures are more direct, others more by inference. Try and accommodate the time zones where you can for meetings and listen as much as talk in that meeting. Lastly, keep everyone on track with the aims, targets and standards expected.

I love this perspective but really would like to see “authenticity” and “vulnerability” highlighted directly. Those are two of my foundational requirements for effective leadership in management/project management.

Building trust will help your team, your project and also yourself. Whenever there's a critical situation to handle, if your team already trust you, they will (by themselves) step in to help to solve/fix the issue and if they don't, if you call them for guidance and support, they will be there to assist you. So, be nice, be respectful, be transparent and specially always be with them and help them solve their issues too. Remember, you are a team and in order to achieve goals/objectives, you all need each other.

Try your best to understand what support each person will need as an individual. Some may require more direct time with you and others may lose performance with excessive time. It’s important to understand that scale and not treat it as a one-size-fits-all approach.

As a leader-coach, you can tailor your guidance to each team member's needs, helping them capitalize on their strengths and improve in areas that require development. Coaching also empowers team members by encouraging them to take ownership of their tasks and decisions. This autonomy can be especially valuable in a remote setting, where team members are usually required to work more independently.

In my experience, on days of working remotely, a team functions best if members are offered greater autonomy, underpinned by trust and responsibility. Recognizing the unique strengths of each individual. I sculpted roles to unlock their full potential, leading to elevated drive and ingenuity. it helps to celebrate achievements openly and foster a supportive environment, offering resources, tools, and information needed to deliver remarkable outcomes.

As a remote project team manager, one needs to understand the importance of empowering and supporting their team members to work autonomously and creatively. I achieve this by delegating tasks and decisions appropriately, offering clear guidance and necessary resources, and avoiding micromanagement. I encourage innovation and experimentation within the team while also addressing their concerns and challenges through coaching and mentoring. Additionally, I prioritize their well-being and work-life balance, promote effective communication and collaboration, recognize and reward achievements, and provide opportunities for continuous learning and development.
