Here’s what else to consider

Process automation is a powerful way to streamline and optimize business workflows, but it also requires effective collaboration between robotic process automation (RPA) bots and human workers. RPA bots are software agents that can perform repetitive and rule-based tasks, such as data entry, invoice processing, or email handling, faster and more accurately than humans. However, RPA bots cannot handle complex, creative, or unpredictable scenarios that require human judgment, empathy, or communication. Therefore, human workers need to complement and supervise RPA bots, as well as intervene when exceptions or errors occur. In this article, you will learn how to improve collaboration between RPA bots and human workers, and how to leverage the benefits of both.

1 Identify the best use cases for RPA

The first step to improve collaboration between RPA bots and human workers is to identify the best use cases for RPA. Not every process can or should be automated, as some tasks may be too variable, ambiguous, or sensitive for RPA bots. You should assess the suitability of your processes for RPA based on criteria such as frequency, volume, stability, standardization, and data quality. You should also consider the impact of RPA on your business goals, customer satisfaction, and employee engagement. By choosing the right use cases for RPA, you can maximize the return on investment and avoid unnecessary complications.

    1. Clearly Defined Roles: Define roles for bots and humans in tasks. Clarity is vital for collaboration. 2. Effective Communication: Ensure bots can send notifications and humans can instruct bots. Bots should flag issues for human intervention. 3. Training: Train human workers to work with RPA bots, understanding their capabilities. 4. Smooth Transitions: Enable seamless task transfers between bots and humans, with clear responsibilities. 5. Feedback: Establish a feedback loop for human workers to improve bot performance over time. 6. Performance Metrics: Define metrics for both bots and human workers, aligned with business goals for improvement.

Let's go back to the starting point. Why did we need robots? It was to save precious human time for more meaningful work. Therefore, effective delegation to humans is a vital component that the RPA architect needs to design. In this process, it's crucial to identify exceptions early on. The workflow should be meticulously crafted ensuring that automated processes handle routine tasks while human intervention is reserved for handling unique or unexpected situations. Additionally, enhancing this collaboration involves enabling human intervention requests to be acted upon seamlessly through a mobile app. This ensures that humans can swiftly respond to and resolve exceptions while on the go, further optimising the efficiency of the workflow

2 Design the RPA workflows with human input

The next step to improve collaboration between RPA bots and human workers is to design the RPA workflows with human input. You should involve the subject matter experts, end users, and stakeholders who are familiar with the processes and the business requirements in the RPA development cycle. You should also map out the roles, responsibilities, and handoffs between RPA bots and human workers, and define the triggers, inputs, outputs, and exceptions for each task. By designing the RPA workflows with human input, you can ensure that the RPA bots meet the expectations and needs of the human workers, and that the human workers understand and trust the RPA bots.

Design the RPA solution around the ideal human working state, do not design it around the ideal RPA state. RPA is an operational technology used to enable business process, therefore the focus should be a solution that empowers and delivers the businesses requirement - not a technical masterpiece of the developer.

3 Implement the RPA solutions with human oversight

The third step to improve collaboration between RPA bots and human workers is to implement the RPA solutions with human oversight. You should monitor and measure the performance, quality, and compliance of the RPA bots, and provide feedback and support to the human workers who interact with them. You should also establish clear communication channels and escalation procedures between RPA bots and human workers, and enable them to exchange information and alerts in real time. By implementing the RPA solutions with human oversight, you can ensure that the RPA bots operate smoothly and securely, and that the human workers can intervene and resolve issues quickly and effectively.

Phased or iterative deployment here is critical. If we take a traditional example of IT offboarding, then we can developed the controls while managing risk. 1) The first iteration solely focuses on integrating with the current workflow, it makes no other impact. 2) The second iteration solely focuses on removing non-critical access, to ensure the transparency and data into the digital worker actions are clear. 3) The third iteration focuses on removing wider access after demonstrating its previous successes. 4) The fourth iteration removes all access. At this point, if smoothly deployed the digital worker could branch into equipment collection and other leaver activities.

4 Optimize the RPA processes with human feedback

The fourth step to improve collaboration between RPA bots and human workers is to optimize the RPA processes with human feedback. You should collect and analyze the data, insights, and suggestions from the human workers who use or supervise the RPA bots, and identify the areas for improvement or enhancement. You should also test and validate the changes or updates to the RPA processes, and communicate them to the human workers. By optimizing the RPA processes with human feedback, you can ensure that the RPA bots adapt to the changing business needs and expectations, and that the human workers benefit from the continuous improvement and innovation.

5 Train the RPA bots and human workers with human skills

The fifth step to improve collaboration between RPA bots and human workers is to train the RPA bots and human workers with human skills. You should equip the RPA bots with the capabilities to handle exceptions, errors, or anomalies in a graceful and transparent manner, and to interact with the human workers in a natural and friendly way. You should also equip the human workers with the skills to manage, troubleshoot, and collaborate with the RPA bots, and to leverage their strengths and potentials. By training the RPA bots and human workers with human skills, you can enhance the user experience and satisfaction, and foster a culture of trust and cooperation.

The article talks about RPA bots handling exceptions, but it doesn't recognize the importance of training them to recognize when to escalate tasks to human workers. Recognizing the limits of automation and knowing when human intervention is necessary is a critical aspect of training.

Digital Worker's should be treated as graduates in many ways; extremely intelligent but require strict guardrails (at no fault of their own). Therefore the scope of the digital worker tasks should be clearly defined e.g., this is out-of-scope for x reason. Scopes should be defined within the business systems, not within the solution. When it comes to error handling of cases the Digital Worker can deal with two things are critical: comprehensive data exception detail and clear stage gate processing. This ensures the human can submit a fully corrected case or pick up a case at the appropriate point in the process without re-working.

6 Integrate the RPA bots and human workers with human values

The sixth and final step to improve collaboration between RPA bots and human workers is to integrate the RPA bots and human workers with human values. You should align the RPA bots and human workers with the vision, mission, and values of your organization, and ensure that they respect the ethical, legal, and social norms and standards. You should also recognize and reward the contributions and achievements of both the RPA bots and human workers, and celebrate their successes and learnings. By integrating the RPA bots and human workers with human values, you can create a positive and productive work environment, and a loyal and engaged workforce.

If your prioritisation framework for automation opportunities does not include your organisational values and assess how the opportunity aligns to these - change that now. Also, robots cannot commit malicious actions, people behind them can. Your people's integrity must be protected, not because you believe them to be malicious, but as a leader you will not stand for anyone be able to challenge their integrity.
