My experience comes mostly from IT projects and one thing I learned is that the most important part of a plan is planning. As they say, the devil is in the details, and as an advocate of agile delivery methods, I see over and over that the details only come out during the work - because people don't know what they want until they get it, very often, and requirements change/crystallize in time. As a project manager, I’ve a card up my sleeve, and in fact I keep it close to my heart. I’m talking about WSR aka the weekly status report. Yes. The same report that prevents me from logging off early on Fridays. It is the ultimate saviour when it comes to documenting your project progress. As part of WSR, you clearly document your milestones, the ones that you have completed so far and the ones you will be working on completing in the future. Tedious tasks that affect efficiency or quality in your processes or product are well worth auditing on a regular basis. Documentation can affect many areas of your projects or business, including liability or compliance that can raise huge issues later aside from wasted time, or development hours, that could be applied towards improving their product or service. It is also crucial for increasingly remote-first teams, or teams focused on quality control or assurance processes.

Every project owner expects to get the manufacturing record books for their new equipment for operational reference, maintenance and spares acquisitions. If these are overlooked during the execution phase, chances are that in the event of a failure or underperformance during commissioning, the documents required for troubleshooting will not be available for reference (not every detail can be found on Google!), which will ultimately lead to completion delays.

Project documentation helps to keep everyone updated about defined scope, timelines, budget but it cannot stop project delays but possibly help you to mitigate or plan the delays better. Project documentation should be used to your advantage to plan and re prioritize items where applicable. A project schedule might highlight tasks missing deadline which might be a dependency on other task so in this case it helps you to plan accordingly. Budget sheet might show you where your team is spending a lot and help you plan so you can cut costs in those areas. Ultimately the documentation should be used to your advantage to plan things better, keep all stakeholders updated and use documentation to act accordingly based on data you have.

Project delays are quite certain even when the project is well planned & monitored. However, it is imperative to minimize the delays and avoid them as much as possible. In order to do this, it is essential to keep track of & convey clearly the project progress in terms of the upcoming deliverables, the resources involved, the time those deliverables are expected to be completed in & any dependencies or risk that require attention along with the respective risk responses & their owners. Conveying this information early & on a regular basis, makes it easier for everyone on the project to see the picture clearly & assist in ways possible to minimize & avoid hindrances. For multi team & interdependent projects, Scrum of Scrums is pretty useful.
