MS Outlook has so many features that people don't seem to know about. There's a way to prevent your email inbox from getting flooded. There's a task manager that helps remind me of "to do" items so you don't have to rely on memory. Their folder feature can help you stay organized. I use their audio notification to alert me AND to identify the nature of the task reminder or email subject. I use their journal feature to log my voice mails so my voice mailbox doesn't fill up.

Firstly, there is no quick fix here because you need to go back to your processes and infrastructure. This is why having those documented and work flows understood helps. Witith that you need to look at where the friction is happening, what is taking too long and then what can be automated. Sometimes this will lead to big decisions about changesto process, policy or systems.

I am old school when it comes to tracking my caseload and staying on top of QA. Just use either Excel or Microsoft Word, whichever you prefer to create a tracking chart, accommodating your entire caseload by name. Use a legal size orientation and going across indicate all of the applicable items that are needed to be tracked for each individual. You can print it and keep it with, use highlighter to indicate outstanding documents and once it is saved to your computer, you can update it as needed. This method always worked for me.

When I had to track donations I used spread sheets to confirm who sent payments. When they arrived,date and amount. Also when they were deposited at the bank. Spreadsheets allowed me to be specific with details.
