If you want to define priorities - you'll first need to ask "what is the ideal outcome that I'm looking for"? If you're able to answer that, then begin by removing items that do not align with that goal. If you're running multiple concurrent projects (i.e. candidate experience, post-interview feedback, phone screens, offer negotiation, etc.) then I've found calendar management to be the most effective approach. Personally, I've used 45-minute blocks (knowing the first 5 minutes I'm not always productive) and specifically list out the item that I aim to achieve.

When scheduling my time blocks, I create specific time periods for unplanned tasks that require my attention. There are always urgent or unexpected tasks that arise. Proactively setting aside dedicated time for unplanned tasks ensures that I can address urgent matters without disrupting my scheduled tasks. Anything can happen in the hiring process e.g. a last minute hiring freeze or a company hiring a new talent manager. Either written in the calendar or having a pad next to you write down 10-12 mini goals the night before including an early time logging on, to tick off as soon as you start.

If an interruption is truly important and time-sensitive the person will call you. 95%+ of the time, that email or ping is a distraction and not actually critical at that exact moment in time. I try to turn the sound off on my computer, turn on do not disturb on apps that prompt my attention.

Limiting interruptions to stick to my time blocks isn't always easy, especially with active candidates or clients. To address this, I proactively limit interruptions while reassuring clients and candidates that their concerns are addressed promptly. Here are some ways I do this: 1. I inform clients and candidates about my availability for calls and emails, specifying the best times to reach me and when I check messages. 2. My voicemail clearly states that I will return calls within a specific time frame, ensuring clients and candidates aren't left waiting without a response and providing an alternate contact for urgent issues. 3. I use auto responders to inform people when I will be back at my desk or checking messages.
