We’ve provided updates on a selection of projects. These updates reflect information collected primarily in September and October 2013.

 

BitLocker Encryption

  • Project manager: Alex Dipietro
  • Objective: Encrypt notebooks and desktops running Windows 7. In particular, ensure that users who have high-risk data on their computers have a solution for encryption. The security keys will be safely stored in the central Active Directory.
  • Update: Discussions underway with Security Architect on a possible plan to encrypt certain computers.

 

Security Policies

  • Project manager: Alex Dipietro
  • Objective: The security committee will create 15 security policies that will govern general IT security standards at the University.
  • Update: CGI is completing a security assessment. The drafted policies will be revised to reflect identified issues. Once done, they will be presented to the Admin. Committee.

Work Study Navigator

  • Project manager: Josée Maisonneuve
  • Objective: To be more agile, rewrite modules to common .Net platform.
  • Update: Bugs and fixes were made. The new version went live in late October.

 

Dark Site

  • Project manager: Sang Trinh
  • Objective: Re-write the tool, creating a new simple-to-use interface, text messaging integration, Facebook integration, Alertus integration and reporting tools.
  • Update: The interface has been updated and text messaging has been added. The next phase will add Facebook and Alertus integration, and is scheduled for go live December 2013.

 

Upgrade of Fibre Optic Infrastructure in Tunnels

  • Project manager: Eric Rivard
  • Objective: Install single mode fiber in tunnels to connect CORE to distribution switches. Install multimode (OM4) between distribution and access switches.
  • Update: Single mode was installed in tunnels using 2-inch conduit; installed in 90% of the tunnel areas. Multimode was installed using two separate paths to avoid single points of failure. Upcoming is the test of Tabaret-Morisset, Morisset-Perez, Fauteux-University Centre tunnel, installation between Fauteux 139, Fauteux 320, and Fauteux 406.

 

Anti-malware

  • Project manager: Daniel Dion
  • Objective: Ensure that all virtual servers are protected by agentless and up-to-date anti-virus, anti-malware technology.
  • Update: We have 1,257 servers, of which 574 are protected with TrendMicro.

 

Wireless Network Upgrade

  • Project manager: Khalil Chamoun
  • Objective: Upgrade the access points in diverse locations throughout campus and add wireless to exterior locations for the use of Protection Services and students.
  • Update: Access points were finished at the end of October in Montpetit Hall.  Almost all the wireless outside has been deployed. The planning for SITE is underway and access points should be installed by the end of December.

Banner Upgrade

  • Project manager: Etienne Lessard
  • Objective: Upgrade Banner to targeted versions for various modules including: year-end reporting, employee self-service, position control, Web General, HR and Finance.
  • Update: Clients are currently finalizing validation of the new versions of the Banner modules in the QA environment. The next step is to proceed with the upgrade and client validation in the pre-production environment. The production environment upgrade was scheduled for the weekend of November 16.

 

FAST Applications Upgrade

  • Project manager: Suzanne Arcand
  • Objective: Upgrade FAST applications.
  • Update: The QA environment has been upgraded by the supplier and clients are currently validating the new versions of the Fast Portal modules. The next step is to proceed with upgrade and client validation in the pre-production environment. The production environment upgrade is scheduled for mid-December.

 

Telephone Call Centre Optimization

  • Project manager: Daniel Trottier
  • Objective: There are challenges with the call centres at InfoService and Financial Aid & Awards such as long waiting times, number of calls received and abandoned calls. In alignment with the student experience piece of Destination 20/20 CCS has been asked to assist the registrar in optimizing the InfoService and Financial Aid call centres.
  • Update: An analysis of the current situation was done, and options were identified along with their impact. A vendor has been selected to help the client redesign their call tree and implement a best practice approach regarding the use of the existing technology.

Ontario Research and Education VCL Cloud

  • Project manager: Paul Mercier
  • Objective: Collaborative project between Algonquin College, Carleton University, La Cité collégiale, the University of Ottawa, and IBM to establish a pilot cloud infrastructure as the initial starting point for what is anticipated to grow into a province-wide “Ontario Research & Education Cloud” (OREC) infrastructure.  
  • Update: The pilot phase has been completed and we have received positive feedback from users. The infrastructure at Carleton University is now fully functional and integrated with uOttawa's. The University of Ottawa has developed internal expertise in the installation and configuration of VCL. In the upcoming months, we will work with IBM towards a 4x capacity increase, develop a business model for OREC, secure additional funding, and much more.

 

Halogen – Interface of Employee Data

  • Project manager: Cecilia Geldrez
  • Objective: Faculties, services and Human Resources update the relationships directly in Halogen. A file is then supplied to CCS, on a regular basis, to upload the relationships in Banner.
  • Update: Looking at the possibility of creating an HRIS connection to Banner to eliminate the need of the upload in Banner.
