We’ve provided updates on a selection of projects. These updates reflect information collected primarily in July 2013.
New uOttawa Card installations
- Project manager: Sang Trinh
- Objective: Deploy the student card systems across campus at varying locations and services, including food, vending, laundry and any other service that requires payment for purchase. It is also used for collecting visitor statistics and access to doors.
- Update: The new GSAED building has been equipped with new point-of-sale devices that accept the uOttawa Card.
Email for students (Gmail migration)
- Project manager: Denise St. Jean
- Objective: Deploy Gmail, which will allow for an improved email service with enhanced performance, accessibility and usability.
- Update: No major issues. Initial roll-out was completed on June 19. To date, there are approx. 28,000 student accounts. About 1,000 have opted out of the service. A final marketing push will be made with students in late September.
Summer orientation Web form expansion
- Project manager: Robert Sawler
- Objective: Web application allows new uOttawa students to sign up and pay for various orientation sessions held on campus during the summer.
- Update: The application went into production on May 8, in time for students to sign up for the orientation sessions.
Web CMS roll out (Drupal migration)
- Project manager: Sang Trinh
- Objective: Deploy a centralized web content management system that can be used as the basis for all web sites at the University by the services and faculties.
- Update: The Workplace Violence website went live at the end of July. The Food Services website went live in mid-August.
Welcome Week enhancements for 2013
- Project manager: Sang Trinh
- Objective: Deploy a new Week 101 website to allow new students to find and register for all events related to Welcome Week.
- Update: The site for Welcome Week went live at the end of July.
New system for Housing
- Project manager: Denise St. Jean
- Objective: Complete an RFP process to select a vendor for the implementation of a web-based student housing management system integrated with the SIS and Banner.
- Update: Planning the Hoteling launch in mid-September and the Student Housing Launch in late November. Some dependencies include requiring resources from Enterprise Services for e-Commerce (Caledon online payment gateway) and Banner integration; resources will be required from Housing for the Web process requirements (theme, flow of pages, etc.).
My Financial Portfolio fixes/enhancements
- Project manager: Denise St. Jean
- Objective: Annually, there are changes made to MFP to improve the process or fix any problems with the application. For example, this year some of these include displaying a date for the expiration of submitted documents, changes to an evaluation status and the display of a student’s GPA.
- Update: The project was completed at the end of July.
Add Financial Aid (FSMS) Data to Talisma CRM
- Project manager: Denise St. Jean
- Objective: Evolution maintenance – integration of the Financial Aid mainframe System (FSMS) to Talisma CRM in order to automate communications with students regarding their applications for financial aid.
- Update: Product verification testing is in progress. Launch will occur in mid-September.
InfoWeb application rewrite to uoZone
- Project manager: Robert Sawler
- Objective: Evolution maintenance -- Student portal application that is highly used by students to access relevant information (grades, courses, registration, forms, etc.)
- Update: Beta launch took place in April and the launch of uoZone occurred in mid-July.
Internal Admissions (inter-faculty - A2) – Phase 3
- Project managers: Daniel Trottier, Robert Sawler
- Objective: Evolution maintenance -- Electronic Request for Admissions Form used by former applicants/students. Submitted form is automatically stored in imaging.
- Update: Includes Create Person, security to prevent form attacks, and Admin backend. The code is completed. Work was done externally. Launch is expected in August.
Direct deposits for students
- Project manager: Daniel Trottier
- Objective: Replace cheques given to students by direct deposits for scholarships, prizes, and fee cancellations. The volume is approx. 20,000 transactions per year.
- Update: This is a new project. The initial phase has begun and before fall 2013, a solution will be selected. This will involve either leveraging the employee pay system or using an external system.
Replacement of Online Scholarships and Bursaries (fluid review)
- Project manager: Peter Talajic
- Objective: Provide students with an online tool to apply for scholarships and bursaries. It will be hosted in the vendor’s cloud and be uOttawa branded. It will replace the InfoWeb application, Online Scholarships and Bursaries.
- Update: Fluid review is being configured. A pilot project with staff encompassing 10 scholarships is scheduled for September.
Residence wireless deployment
- Project manager: Khalil Chamoun
- Objective: Deploy the wireless network in all student residences.
- Update: Deployment is completed in most of the residences. The Thompson and Brooks residences will be done by end of August.
Backups
- Project manager: Daniel Dion
- Objective: Reduce the number of backup platforms by standardizing to Veeam and TSM. CommVault and NetBackup will be decommissioned.
- Update: The new TSM infrastructure was ready in May. Approximately half of the CommVault users have been migrated. Once done, we can reduce the hardware maintenance of the old tape library. Planning to finish during fall 2013.
DB2 update
- Project manager: Peter Talajic
- Objective: Maintain our mainframe environment by upgrading to version 9.
- Update: Project restarting in September due to an XTender dependency. To avoid the doubling of licensing costs, we need to finish this project before November 1.
Unified communications pilot
- Project Manager: François Allard
- Objective: Conduct a unified communications pilot with External Relations to allow their mobile staff to use conferencing, unified messaging, presence, chat, and softphone UC features.
- Update: The pilot will span 2013-2014. We started working on the implementation in early summer. Mitel-Cisco integration was configured, tested, and deployed. Voice mail was implemented. The Webex cloud solution was configured. A BYOD session with clients was held to test Webex functionality and Jabber-Softphone integration is forthcoming.
Advanced Research Complex Building: network infrastructure
- Project manager: Eric Rivard
- Objective: Implement network and voice requirements in the new building by Spring 2014.
- Update: The RFP for the cable contractor is done and planning is nearly complete.
