Departmental Account

What is a "departmental account"?

It is a generic account managed by a recognized University unit. The standards for naming this type of account differ from that applied to personal accounts. Examples would be generic faculty or service accounts such as cyberSOS@uottawa.ca and infoserv@uottawa.ca.

How are these accounts created?

  1. The account request must be approved by a formal "requestor," that is, the dean or director or this person's delegate (administrative officer).

  2. The written request must include the following information about the person responsible for the account, that is, the user or, if the account has many users, the supervisor:

    • Name
    • Date of birth
    • employee number
    • generic ID if the account has multiple users.

  3. All requests must then be submitted using our on-line Web request form at http://www.ccs.uottawa.ca/cybersos/

How is the account creation confirmed?

The following notice is sent to the person responsible for the account, along with a copy for the "requestor":

The creation of the following account : "userid" has been approved (the initial password "____________" must be changed for security purposes). The person responsible for the account is "User, Supervisor or Requestor", depending on circumstances. If the account has multiple users, the supervisor must ensure that its use is limited to authorized employees.

Every person using the account must comply with the code of conduct located at http://www.uottawa.ca/help/about/code.html. If the account has multiple users, the supervisor must convey the rules of conduct to every user. We strongly recommend that the supervisor obtain from every user a written confirmation that he or she has read and clearly understood the rules of conduct.

Changes to the account password can be made by the person responsible for the account, with the usual verification (name, date of birth, employee #, S.I.N. digits or generic ID number provided by the requestor) conducted by the Computing Help Centre staff.

The account can be cancelled by the person having authorized its creation.

Departmental accounts cannot contain forwarding addresses to personal accounts.

 

Sponsored or departmental mailbox accounts do not include SLIP / PPP access /docs/slip-ppp.html.
