Will Exchange have an effect on my continued use of MS Office applications (WORD, Excel, etc)?
Use of MS Office applications will not be affected. EXCEPTION: If you had databases created in older versions of MS Access prior to migrating, there may be issues when opening them in MS Access 2003.
What are the minimum requirements to allow me to use the Exchange server?
For PCs: Windows XP SP2 w/Outlook 2003
For Macs: OS X
How much space (quota) do I have on the server?
Each account has 300 Mb of available space on the Exchange server.
If 300MB is not enough for your needs, please discuss your requirements with the IT representative for your faculty/service. If appropriate, the IT rep may then submit a request for additional space. For those sectors without an IT rep, please contact the Computing Help Centre.
How do I check how much space I'm currently using on the server?
Keep track of the space being used in your Mailbox (This option is not available from Outlook Web Access):
- Right-click on the “Mailbox – username” folder in the folder navigation pane
- Choose Properties for “Mailbox - username”
- Click the Folder Size button
Look at Total Size (including subfolders). This number should not exceed 250,000 KB.
How do I clean up mail to conserve space in my account?
- Delete any items that you are no longer using or move them to your Personal folder file (.pst).
- Clean up your Sent Items folder
- Search for large email that can be moved or deleted
- Click on Search Folders in the folder navigation pane
- Choose New Search Folder
- Choose Large mail under the “Organizing Mail” header
- Choose your Mailbox account next to “Search mail in:”
- Click OK

Preparing MS Outlook 2003 for uOttawa Exchange
- In the Control Panel, double click on the Mail icon.
- In the Mail Setup – Outlook window, click Show Profiles…
- Click Add… and type in a new Profile Name then click OK.
- Select Add new e-mail account from the E-mail Accounts window and click Next
- Select Microsoft Exchange Server then click Next
- In the Microsoft Exchange Server box, type exchange.uottawa.o.univ
- Uncheck the option Use Cached Exchange Mode.
- In the User Name box, type in your Exchange account users name (lowercase, no spaces)
- Click on More Settings… then click OK when the message window Outlook could not log on … appears.
- Click OK in the Microsoft Exchange Server window.
- Select the Security tab and put a check mark next to both Encryption and User identification options.
- Select the Connection tab, put a check mark next to Connect to my Exchange mailbox using HTTP and click on Exchange Proxy Settings…
- In the Exchange Proxy Settings window, make sure that all check boxes are selected.
- In the https:// box, type mail.uottawa.ca
- In the Principal name for proxy server box, type msstd:mail.uottawa.ca
- Change the Proxy authentication settings to Basic Authentication
- Click OK, then Apply and OK again to close the Microsoft Exchange Server window.
- Click on the Check Name button. In the msmail1 login window the User name should read uottawa\username. If not, just type it in.
- Enter your password and click OK to log in.
- Once logged in, the User Name will appear underlined. At the E-mail Accounts window, click Next to finish.
- If you receive the message “Mail from this Microsoft Exchange Server account will … …Do you wish to continue?” click Yes.
- In the E-mail Accounts window, click Finish
- In the Mail window, select the new profile and click Properties.
- From the Mail Setup – Outlook window, click on E-mail Accounts… again.
- Select View or change existing e-mail accounts and click Next
- Log in using the Connect to MSMAIL1.uottawa.o.univ window.
- In the E-mail Accounts window, select Mailbox – username from the Deliver new e-mail to the following location: option.
- Click Finish to apply the new settings then click OK at the Mail Setup – Outlook window.
- If this is the only account in Outlook: from the Mail window, select Always use this profile and close the window
I want to make available a distribution list for a group of people. What is recommended?
CCS recommends using a Distribution List that is available through the Global Address List. The owner of this list would add or remove members. Members would be able to send to the list but not modify the members.
How do I request a Distribution List?
Send a request to http://www.ccs.uottawa.ca/cybersos/ or call the helpline at 6555.
- The account request must be approved by a formal "requestor," that is, the dean or director, IT staff or an administrative officer.
- The written request must include the following information about the requested distribution list and the person\people responsible for the account:
- Owner’s full name and email address
- Owner’s employee number
- Purpose of the list
- Distribution List name in the format dl-X-Y where X would be the acronym describing the faculty or service and Y would be a description of the list. (example: dl-ccs-scs) There is no limit for the number of characters but please keep it as short as possible.
How do I modify the Distribution List?
Only the owner of the list can modify the list.
- From the Tools menu choose Address Book.
- Under Show Names from the: choose Global Address List.
- Search for the distribution list and double click on it.
- Click on the Modify Members button from the distribution list Properties window.
- From the Distribution List Membership window, use the Add and Remove buttons to select members. Members are Microsoft Exchange users only, not for outside email addresses.
Passwords
To change your Exchange password:
- Login to OWA ( https://mail.uottawa.ca/exchange/).
- Click on the Options tab in the left hand menu, .
- Scroll down to the Password section and click Change Password.
- Enter your userid in the Account box.
- Enter your old password, then your new password twice as specified.
Note: The new password must contain a minimum of 7 characters.

How do I make my spam filtering more accurate?
- Click on Tools/Rules and Alerts
- Select the rule titled X-uottawa-MailScanner-SpamScore: ~~~~~
- Choose Edit Rule Settings from the Change Rule menu
- In the Step 2 box, click on X-uottawa-MailScanner-SpamScore: ~~~~~ that is in blue
- From the Search List box, click on X-uottawa-MailScanner-SpamScore: ~~~~~. This adds it to the “Specify a word or phrase…” box above.
- Remove the last ~ and click Add
- Click Finish
- Click Apply then OK
How can I automatically forward incoming messages to another account?
This option is not available.
When I try logging into Outlook I get a pop-up box stating "Your Mircrosoft Exchange server is unavailable." Why can't I log in?
This message begins to appear when your password is due to expire.Click the Cancel button.

My "Junk E-mail" folder no longer gets emptied after X days. Why?
The option to automatically purge messages from the Junk E-mail folder is not available in Outlook 2003.You need to empty it manually by selecting the messages and deleting them.
To integrate the University of Ottawa holidays for 2008 and\or the new 2008 Family Day in Outlook Calendar:
Check to see if 2008 holidays are installed in your Outlook\Entourage Calendar:
- In the Calendar, navigate to March 2008.
- Check to see if there is an entry for Easter Monday on March 24, 2008.
MS Outlook 2003:
- Double click on the Outlook.hol file and choose Open.
- There should be 3 entries: University of Ottawa 2007 and University of Ottawa 2008 and Family Day 2008. Place a check beside the ones you need to import.
- If Easter Monday was present on March 24, 2008, select only the Family Day option to install, otherwise select only the University of Ottawa 2008 holidays to install (family day is included).
- Click Ok.
Contact names are getting listed twice in my address book, even though the contact list that it is based on has no duplicates. Why?
It is creating one listing for a SMTP e-mail type and one for the FAX e-mail address. All versions of Outlook do this. This is expected behavior. These aren't duplicates. Outlook considers fax numbers to be valid electronic addresses, since there are many client and server-based component applications that can use such addresses.
One method to hide fax numbers from the address book is to prefix the fax number with one or more letters (e.g. B for business fax, H for home, O for other). If the fax number begins with a letter, Outlook won't show it in the address book.
I can’t see new contacts added to my Contacts list or I can’t see my Exchange Contact list. Why?
It could be that the Contact folder saved on Exchange is not visible.
- From the Go menu, click Folder List
- In the left hand column under Mailbox – Your Name, right click on Contacts and choose Properties.
- From the Outlook Address Book tab, check the option Show this folder as an E-Mail Address Book
- Follow steps 1 to 3 to uncheck this option for the Contact folder under Personal Folders.
Why can't I send certain attachments in Outlook i.e. *.mdb, *.exe, etc?
Outlook has a list of file extensions it won't send or receive to lower the possibility of virus infection. You can either zip the file or rename the extension for Outlook to send and receive the attachment. What is the maximum number of entries allowed in a distribution list?
A distribution list can hold a maximum of 165 entries. If you have a list with more than that, you'll have to create a chain of distribution lists. Here's how to do it:
- Create the first distribution list with 164 entries.
- Create the second distribution list with the remaining entries (or 164 if there are more than 165 entries).
- Add the second distribution list to the first distribution list as the 165th entry.
- Repeat with a third list if necessary.
How does a delegate place a copy of email sent by them (on behalf of the account owner) into the account owner’s Sent Items folder?
- Select Tools > Rules and Alerts from the menu
- Click New Rule to start creating a rule
- Select Start from a blank rule
- Under Which type of rule do you want to create? select Check messages after sending
- Click Next
- Under Which conditions do you want to check? select with specific words in the body
- From the Step 2: box, click on specific words and enter the display name of the departmental account (the name that shows up in the Outlook global address list). Click Add. Enter the email address for the departmental account, e.g. account@ku.edu. (You could just enter the account name without the @ku.edu if it is unique.) Click Add
- Click OK then Next
- Under What do you want to do with the message? select Move a copy to a specified folder.
- From the Step 2: box, click on specified folder and navigate to the departmental account Sent Items.
- Click OK then Next
- Under "Add any exceptions" do not check anything. Click Next.
- Under Please specify a name for this rule enter whatever name you want, e.g. "Dept Account Sent Items."
- Click Finish.
- You will get a message about a client-only rule. Click OK.

How do I search for a user by last name in Outlook?
- In the To: field, type in the first 3 letters of the user’s last name.
- Hit your Tab key to move the cursor to the next field.
- Once the letters are underlined in red, right click on the letters.
- A menu appears containing a list of possible matches. Select the user from this list.
How do I Remove Names from History List in Outlook?
- Create a new mail message.
- Start typing the name of the person you want to remove from the list (example Kay). The list might popup saying Kay Moore, R. Kay Moore, Kay Verbeke.
- If you know which one of these is incorrect, use your arrow keys (NOT your mouse) to arrow down to the one you want to remove.
- Press the Delete key NOT the Back Space key. This will remove that name from the History List.

Creating a rule to filter email coming from a specific e-mail address to a specified folder
BEFORE BEGINNING…
Make sure that the e-mail address you intend to filter is in your Contact List.
- Go to Tools / Rules and Alerts…
- On the E-mail Rules tab, click the New Rule button
- Choose Start creating a rule from a template
- Under Step 1: Select a template
- Select on Move messages from someone to a folder
- Under Step 2: Edit the rule description
- Click on people or distribution list and from your Contact list, choose the person or e-mail address you wish to filter.
- Click on specified folder and choose (or create a new) folder for the filtered messages.
- Click Ok
- Click Next
- On the new screen under Step 1: Select Conditions
- Make sure that there are check marks next to “on this machine only” and “from people or distribution list”
- Click Next
- Under Step 1: Select Action(s)
- Make sure that there are check marks next to “move it to the specified folder”
- Click Next
- Under Step 1: Select Exceptions
- There should be no check marks
- Click Next
- Under Step 1: Specify a name for the rule
- Name the rule
- Under Step 2: Setup rule options
- Make sure there’s a check mark next to “Turn on this rule”
- Click Finish
- Click OK
- Click Apply
- Click OK
Note: Once the rule is active, you may notice new email from the filtered address in your Inbox. It will only sit there for 3 or 4 seconds then disappear into the folder you specified for it.
Entourage (Mac)
Why can't I access Global Address Book?
Global Address Book is NOT available with Entourage.
Where do I get the University Holidays file (2007 \ 2008) for Entourage?
MS Entourage 2008:
- Download the Holidays2010.zip file.
- Double click the file to extract the Holidays file.
- Close Entourage.
- Rename the old Holidays file found in \Applications\Microsoft Office 2008\Office and copy the new one in its place.
- Open Entourage and choose File – Import – Import Holidays.
- Click the next arrow.
- Place a check mark beside University of Ottawa 2010.
- Click the next arrow.
Calendar
I cannot see the Share My Calendar option in the left navigation pane. How do I fix this?
Go to Tools – E-mail Accounts, under Deliver new e-mail to the following location: needs to be set to “Mailbox – account name” (for the QA environment) and not Personal Folders. Caution! If you are configured with a mailbox account and an exchange account, doing this will mess up your mailbox account.
How do I schedule a meeting that includes booking a resource?
- In Outlook, click on the Calendar container
- Click New from the Toolbar, you will now be presented with the “Appointment” dialog box
- On the “Appointment” tab complete the title of the appointment, the start and end date, start and end time, and any other information that you think would help you.
- Click on the Scheduling tab
- Click on the “Add others” button at the bottom of the page
- Select “Add from address book”
- The “Select Attendees and Resources” dialog box will now be displayed.
- Click on the resource, and then click on “Resources ->” button. This will now add the resource for our meeting.
- If you need a user to be at this meeting, click on the username and then click on “Required ->”. You could also select the “Optional ->” button for the user if it is not a requirement that he/she attend.

How do I invite people to a meeting without scheduling them in Calendar?
- Create the meeting in Outlook Calendar.
- Right click on the meeting and choose Forward.
- Add address of all invited users in the To: field.
- Click Send.
OR
- Create the meeting in Outlook Calendar.
- Once created, select it and choose File then Save As.
- Save in the Calendar Format *.ics.
- Send this file as an attachment to the invited users.
When would I use Delegate rights or Sharing permissions?
Sharing Permissions:
Give one or more persons permission to read, modify, create, or delete information in your private folders (Calendar, Tasks, etc. not recommended for email sharing).
Examples:
- You want colleague(s) to see and\or modify your Calendar.
- You want a colleague to see and\or modify your Task list.
- You want to share Contacts with colleague(s).
Delegate Rights:
Give someone permission to send messages for you, accept meeting and task requests for you, or manage information in your private folders (Inbox, Calendar, Tasks, etc).
Examples:
- Use delegate rights to manage a departmental account (email or calendar).
- If a secretary manages the supervisor’s email or calendar.
- If you schedule and accept meetings for someone else.
- If you send email on behalf of someone else.
Is there a way to remove duplicate holidays from my calendar?
- Select the Calendar tab and then choose View/Arrange By/Current View/Events.
- Select View/Arrange By/Current View/Customize Current View and click the Fields button.
- In the "Available Fields" list, select Created and click the Add button.
- Click OK twice.
- Click the Created column to sort the events.
- Look for Holiday events in the Categories field.
- Select the Duplicate Group(s) of holidays created on the same day and delete them.
Note: If you have many duplicates, it may be easier to delete all Holiday events and then go back and re-add them.
Can I invite a uOttawa listserv ((ie: uoinfo-l) to a meeting?
Yes, a uOttawa listserv can be invited to a meeting.
Note:
If the ‘Reply To’ option of the listserv is set to “list”, then everyone on the list will get a copy of the invitees’ replies.If the ‘Reply To’ option of the listserv is set to “sender” (Recommended) then only the meeting organizer will receive the replies.

Click on the 'Options" tab in the bottom left corner, scroll down to Spelling Options and select the desired language from the drop down list.
I can see folders, subfolders and email messages in the Outlook client but only see empty folders and subfolders in OWA. Why?
Folders in the Outlook client need to be refreshed. Select each folder and subfolder one by one, and wait for them to refresh. This could take up to 2 minutes for each depending on the size of the folder.
How do I change the language in the OWA?
To change the language from French to English in OWA:
The language that is first this is the one that OWA will choose.
- Choose Internet Options from the Tools menu.
- Click on the Languages button.
- If the language of choice is not listed, click on Add button and add the desired language. Click OK.
- Choose the language from the list and click the Move Up button until the language is at the top of the list.
How do I set a vacation message for my exchange account in OWA?
- Log into the OWA and choose Options from the bottom left corner of the window.
- Under Out Of Office Assistant, choose I'm Currently Out Of The Office and type the desired message in the text box.
- Click Save, Close then Log Off.
Why do I get “unresolved names” in my Contact Distribution Lists from within the OWA?
This is currently an unsolved issue. From the Distribution List within the Outlook client, click on Update Now. Doing so, may help in the OWA.
ALL my meetings in OWA are OFF by one hour.
Change computer time zone configuration, it should be;
- Eastern Time (US & Canada)
- check use daylight savings time
Unfortunately, meetings that were created with the wrong time zone will have to be corrected manually.
Can I use OWA in Internet Explorer 7 and Windows Vista?
Yes you can, although IE7 and Windows Vista are currently not supported by CCS.
I receive a red “x” in the body of new messages when using OWA in Windows Vista.
- Log on to Outlook Web Access.
- In the lower left pane, click Options.
- In the E-mail Security area, click Download.
- Click Run to install setupmcl.exe
- When install is complete, you will notice a bar at the top to install activeX.
- Click on the bar to run activeX controls and follow prompts.

- Beside Mail Service, choose Microsoft Exchange Server Activesync.
- Next.
- Type in the Exchange User Name (ie: johndoe).
- Type in the Exchange Password. Next.
- Enter the Email Address (ie: johndoe@uottawa.ca).
- Enter the Server Name mail.uottawa.ca
- Test Setting
How do I connect my Pocket PC to the Exchange Server?
Wireless Email and Calendar Synchronization:
- On the Pocket PC, from the Start menu, choose ActiveSync.
- Choose Tools from the bottom left corner, then Options.
- From the Server tab, choose Options.
- Type in the exchange username, password and “uottawa” beside Domain.
- Check off Save Password then click Ok.
- Under Sync with this Server, type “mail.uottawa.ca”.
- Make sure there is a checkmark beside This server uses an SSL connection.
- Under Sync These Items, place a check beside Calendar, Contacts and Inbox.
- From the Mobile Schedule tab, change the synchronization frequency (or leave manually).
- Click Ok and then click the green Sync button.
Desktop Settings:
Email:
In order to synchronize folders other than the Inbox, you must configure Microsoft ActiveSync from the Desktop client. The PPC must also be cradled (attached via the cradle and USB to the computer).
- On the desktop computer, from the Start menu, choose All Programs, then Microsoft ActiveSync.
- Double click Inbox and choose the Select Folders button.
- From the folders you want synchronized from the folder list (subfolders need to be selected manually).
- Click Ok and Ok again to get back to the main window.
Calendar:
The default calendar setting for dates synchronized in the past is 2 weeks. To change this, follow these steps.
- On the desktop computer, from the Start menu, choose All Programs, then Microsoft ActiveSync.
- Double click Calendar and choose how far back you would like your calendar to synchronize (default is 2 weeks).
- Click Ok.
How do I connect my Windows Mobile 5.0 device to the Exchange Server?
Windows Mobile 5.0 devices are not supported.
Users wishing to connect to Exchange using non-supported devices will need the following configuration information:
- domain: uottawa
- server name: mail.uottawa.ca.
- Username and password for the Exchange server
